Review university requirements before hosting minors on campus

The University of Georgia is committed to the safety of all individuals in its community, particularly minor children whose presence on campus or in university activities requires special attention and protection. All university faculty, staff, students, and volunteers involved in such programs must take reasonable steps to provide a safe environment and positive experience for all minor participants. While not necessarily exhaustive of all policies applicable to such programs and recognizing that each program’s needs may vary, the following checklist is provided to assist you in ensuring that all programs are taking reasonable precautions to ensure the safety of the minors participating:

  • Program approval: All programs and activities must be approved by the appropriate director, department head, dean, or their designee and should follow all departmental policies and guidelines.

  • Criminal background checks: Background checks should be performed on all faculty, staff, students, and volunteers for programming involving minor children. Background checks can be coordinated through UGA Human Resources. For purposes of dealing with minor children hereunder, all UGA employees should also be made aware of and comply with the UGA Arrest and Convictions Policy.

  • Mandatory reporter: All faculty, staff, students, and volunteers should be provided information regarding the Georgia Mandatory Reporter law.

  • Waivers and parental consent forms: You should consider whether any or all of the following forms should be required for the particular program or activity:

  • Parental consent forms and waivers

  • Media, photography, and likeness release

  • Medical releases
