Pay date changes from OneUSG Connect HR/payroll transition

On Sunday, Dec. 16, the University of Georgia will implement the second phase of its financial systems upgrade. This portion of the OneSource project is called OneUSG Connect and will affect all Human Resources and payroll processes at the University, and therefore every UGA employee. More information about this transition can be found on the OneSource website.

Information will be provided about new methods of reporting and approving time, requesting leave, and accessing paychecks. This notification, however, is to provide some advanced notice of changing pay dates for ALL payroll types. Payroll calendars are linked below for reference along with the full 2019 payroll calendar.

There are two major changes:

  1. Academic payroll, which has historically been paid at the close of the academic semester, will now follow the monthly pay schedule which processes payroll on the last working day of the month. This will impact the pay date for December, May, and for summer school (to be paid at the end of May, June, and July).

Because Dec. 31 is a work day this year, payroll for both academic and monthly pay types will be processed on that day rather than before the holidays.

  1. Both bi-weekly pay type pay periods shift from a Thursday-Wednesday workweek to a Sunday-Saturday workweek and will align with each other beginning on Dec. 16. This will impact the timeframe for approval, as timecards will in most cases be due to payroll the following Monday morning at 9 a.m. Also, in order to convert to the new pay period schedule both the salaried bi-weekly pay period, beginning Dec. 13 and the hourly bi-weekly pay period beginning Dec. 6, will close on Dec. 15 and require timecard approval early the following week. These abbreviated pay periods will pay out Dec. 20 and 27, respectively. This will be the last timecard approval in Kronos.

The OneSource team will be forwarding information regarding these changes to each employee, and training resources will be available for the new systems that will be available to all of us. However, this information is being shared at this point to allow planning due to the potential pay date changes.
