FY21 system user verification key dates

Each year, the University of Georgia undergoes an annual financial audit by the State of Georgia Auditors. In preparation for the FY21 audit, EITS will conduct a verification of all user accounts on:

  • Banner
  • PeopleSoft Financials
  • Hyperion
  • UGA Jobs
  • OneUSG Connect (for managers/supervisors/approvers only, not all employees)

This audit will involve users verifying the need for the access they have and supervisors reviewing and deciding to approve or deny this access for employees under their purview. All processes will be conducted in JIRA.

  • Jan.-Feb.: Planning process, drafting, and reviewing communications
  • Feb. 4: Administrative memo about account standards training
  • Feb. 25: Account standards training
  • March 22: Administrative memo about user verification process
  • March 29: User verification kickoff (one email is sent to all users involved, asking them to start completing the process)
  • April 12: Reminder email to users and supervisors
  • April 19: Reminder email to users and supervisors
  • April 21-29: Contacting VIP users and supervisors who have not responded
  • April 27-30: Additional reminders to OneSource users and supervisors
  • April 30: Deadline to respond to keep access
  • April 30 after close of business: Access is revoked or locked for users who have not responded
  • May 10-20: Send information to data custodians for review
  • June 3: User verification is complete
