Vaccine administrative leave

As noted in the Friday, Aug. 27 ArchNews memo, all University System of Georgia faculty and staff will receive up to eight hours of paid time off to be used between Sept. 1-Dec. 31, 2021.

For internal tracking purposes, employees should complete and send an internal leave request to the Office of Faculty and Staff Services after approval from their supervisor. This request must include the employee type and number of hours projected for use. The office will maintain records for reporting purposes.

Key points to consider as a supervisor include:

  • Leave must be used between Sept. 1-Dec. 31, 2021 and will not rollover.
  • All employees, except student workers and graduate students, are eligible. Non-student, temporary bi-weekly employees are eligible as well. This leave time is prorated based on the employee’s full-time equivalent. For instance, an employee who works 30 hours (0.75 FTE) is eligible for six hours of leave rather than eight hours.
  • Leave requires prior approval of the supervisor and must not disrupt essential operations of the unit. In particular, instructors may not take leave when they are scheduled to teach.
  • The employee is not required to obtain a vaccine or provide documentation of vaccination.

Directions for biweekly paid employees:

  • Supervisors should enter this as a Time Reporting Code of 00VLH (Vaccine Admin Day – Hourly).
  • Employees do not have access to this code; supervisors and time and absence approvers must add this code when approving weekly timesheets.
