Travel policy update: ADA accommodations
Historically, when an employee needed an accommodation for business-related travel, the supporting medical documentation was retained within the employee’s department. The travel policy has been updated to reflect that documentation is now managed via the University Human Resources (UHR) ADA process.
Please advise your employees to submit an ADA request, when applicable, ahead of their travel dates. UHR received a list of Delta One reimbursements that were identified in the University-wide travel audit and will be reaching out to those units to see if an accommodation was leveraged.
The UGA travel policy was recently updated to include:
- Information added under section G, air travel, and other public transportation in reference to first class travel
- Item 2 now reads: A licensed medical practitioner certifies that because of a person’s mental or physical condition, specific air travel arrangements are required. The employee must provide necessary medical certifications as an ADA accommodation through University Human Resources. The medical certification should also specify the expected length of time such conditions would impact travel needs.
Expense report updates:
Initiators should use the “Reference” field on the expense report to identify ADA associated travel.
Approvers should review the “Reference” field to identify ADA associated travel when upgraded arrangements are present.
